AIFS, one of the largest global providers of cultural exchange programs is seeking a Japan based person to handle our operations for Winter Work Japan. This newly created role will be responsible for working closely with resorts in some of Japan's largest winter resort areas to provide opportunities for international staff from Australia, the UK and EU wishing to work at a Japanese resort over the winter season.  

Who are you? You have a background in tourism or hospitality or possibly direct  experience working in the winter resort industry in Japan at a management level. You are a 'people-person', who would like to make a positive impact in the lives of AIFS' travellers.

Key responsibilities:  

‍Strategic Partnerships
‍* Liaise with current resorts and other employers based in key winter resort areas to secure job opportunities.
* Establish and maintain strong, long-term relationships with resorts, hotel groups, and other winter related employers to secure annual placements and enhance ongoing collaboration.

 Operations
* Collaborate closely with the AIFS team in Australia to coordinate job descriptions and role specifications
* Interview scheduling and feedback
* Finalising employment contracts
* Arrival logistics
* Use of AIFS' CRM (HubSpot)
* Handling any placement-related issues

Arrival Logistics
* Organise and manage arrival accommodation and welcome packages for weekly groups arriving from mid-November to mid-December.
* Meet arriving participants and escort them to their pre-arranged accommodation
* Deliver up to 4 orientation sessions in Tokyo, in collaboration with AIFS' Australia team.

On-the-ground Support
* Assist participants in setting up Japanese bank accounts and registering
their Working Holiday Visa with the appropriate city office.
* Provide support (inc.  emergency assistance) to employers and participants during the placement

‍Essential requirements
* Fluent or native level of spoken and written Japanese
* Upper intermediate spoken and written English
* Excellent knowledge of the Japan winter resort/ski industry
* Excellent interpersonal skills and the ability to effectively build rapport at all levels
* Proficiency with Microsoft Office
* Strong organisational and communication skills
* Ability to manage multiple tasks and deadlines effectively
* Problem-solving skills and the ability to handle challenging situations.

主な業務内容

戦略的パートナーシップ構築

• 日本の主要な冬季リゾート地にある施設の雇用主との就労機会の確保
• それらの長期かつ強固な関係構築と年間を通じたサポート体制の確立

業務業務

• オーストラリアに拠点を置くAIFSチームとの連携による各課題分野の調整
• 面接日程の調整とフィードバック
• 雇用契約の最終調整
• 到着時のロジスティクス対応
• AIFSのCRM （ HubSpot ）の活用
• 配属に関する各種問題対応

プログラム参加者到着サポート

• 11月中旬〜 12月中旬にかけて週単位で到着するグループの宿泊手配およびウェルカムパッケージの準備
• 参加者の出迎えおよび事前に手配された宿泊先への同行
• AIFSオーストラリアチームと連携し、東京にて最大4回のオリエンテーションを実施

参加者現地サポート

• 日本の銀行開設およびワーキングホリデービザの市区町村役場での登録補助
• 契約期間中の参加者および雇用主へのサポート（緊急対応含む）

• 日本語（母語またはネイティブレベル）
• 英語（中上級レベルの読み書きと会話）
• 日本のスキー場／冬季リゾート業界に関する優れた知識
• 高い対人スキルと関係構築力
• Microsoft Officeの活用スキル
• 高い組織力およびコミュニケーション能力
• 複数の業務を効率よくこなせるマルチタスク能力
• 課題解決力と柔軟な対応力
